We take our clients' financial privacy very seriously. During the course of processing your application, we accumulate non-public personal financial information from you and from other sources about your income, your assets, and your credit history in order to allow a lender to make an informed decision about granting you credit.

We restrict access to nonpublic personal information about you to those employees who need to know that information to provide products or services to you. We maintain physical, electronic, and procedural safeguards that comply with federal regulations to guard your nonpublic personal information.

We collect nonpublic information about you from the following sources: (i) information we receive from you on applications or other forms; (ii) information about your transactions with us, our affiliates, or others; and (iii) information we receive from a consumer reporting agency.

All financial companies need to share their customer's personal information in order to process and close your mortgage loan. Therefore, we do disclose your personal information to pre-vetted vendors to perform certain required functions and who have high safe guards that prevent further release of your personal information. Universal Mortgage and Finance, Inc. may use your information to offer you products and services in the future, but does not share your personal information with any other companies or affiliates except for the purpose of processing and closing your mortgage loan.

HMDA 203.5(c) Requests


Policy Statement

It is the policy of Universal Mortgage & Finance, Inc. to maintain a copy of the Modified Loan Application Register (LAR) for mortgages reported under the Home Mortgage Disclosure Act (HMDA) available for viewing by the public, pursuant to federal law 12 U.S.C. 2801, as implemented in regulation 12 C.F.R. §203.5(c). These Modified Loan Application Registers will be made available to the public for a period not to exceed the previous three years, in accordance with federal guidelines.

Access to Printed Materials

Any persons wishing to view any of the Modified Loan Application Register documents from the most recent previous 3 years HMDA submissions may do so by appointment at our Annapolis, Maryland headquarters. View-only access of printed documents is provided free of charge, and will be provided to requestor for supervised review in one of our conference rooms. If the visitor wishes to obtain copies of the Modified Loan Application Register, there will be a fee assessed for each year requested. No digital copies will be provided to any requestor not employed by our direct reporting agency (HUD) under any circumstances, unless required by law. Please consult the fee schedule for the applicable fees for obtaining copies.

Written Requests for Materials

All requests for Modified Loan Application Registers must be made in writing to our Annapolis, Maryland headquarters. Requests for Modified Loan Application Registers will be assessed a fee for each year requested. The requests will not be processed until payment has been received, and will be mailed to the requestor within 7-10 business days from receipt of confirmed payment. All Modified Loan Application Registers processed will be mailed to the requestor in printed form, via US Postal Mail. No digital copies will be provided to any requestor not employed by our direct reporting agency (HUD) under any circumstances, unless required by law. Any release of data in any of the common electronic formats (ex: .dat, .pdf , .doc, .docx, .txt, .csv, etc.) is strictly prohibited. Any "rush" requests by third parties will require an additional fee, with any expedited shipping being pre-paid by the requestor.

Document Retention

Modified Loan Application Register documents will be stored on the Agency sub-folder of the Administration directory located on the Network File Server for a minimum period 3 calendar years from the date of submission as required by federal law. The strictest of the guidelines set forth by any of the regulatory agencies will apply in regards to minimum retention requirements, should any of the governing agencies publish guidelines that extend the 36 month retention requirement. These documents are to be included in the overall network data backup & retention plan as outlined in the Universal Mortgage & Finance, Inc. written Information Technology plan.

Authorized Personnel

No unauthorized access to confidential company HMDA information is permitted. All requests for documents should be forwarded, along with the required fee, to the IT department for proper processing & handling. Only company officers, IT staff, and employees tasked with the preparation and submission of HMDA data are authorized to access Universal Mortgage & Finance, Inc. company HMDA data without prior approval. Only Modified Loan Application Register (LAR) documents are to be provided to third parties or the general public. Release of the original Loan Application Register or any other document created for submission to our regulatory agency is strictly prohibited. Modified Loan Application Registers will not contain any borrower specific information, Loan Numbers, Application received date, Loan Purpose, etc. Any unauthorized release of data or security breach caused by an employee of Universal Mortgage & Finance, Inc. will cause the offending employee to be subjected to disciplinary action commensurate with the severity of the data leak.

Schedule of Fees

Free: Viewing of Modified Loan Application Register, in person, at Universal Mortgage & Finance, Inc.

$250: Preparation of Modified Loan Application Register to be mailed or picked up in person. This fee is charged per year requested, and applies to those requesting copies after viewing (see above).

$100: Rush fee - Will be applied to requests requiring a 48 hour turn-around time for preparation of Modified Loan Application Register. This fee is in addition to the $200 Preparation fee, which will cover each year specified in the written request. There will be no rush fee charged for requests made in person at the Annapolis, Maryland headquarters. Any overnight shipping charges will be the responsibility of the requestor, with prepaid mailing supplies and shipping labels supplied by the requestor with original request.
